In an attempt to help reduce and delay the spread of COVID-19, and in light of recent tax extension provisions by the IRS, we have temporarily changed our protocol for receiving tax documents and delivering tax returns. As a part of this change, drop-off and pick-up service at our office will generally be unavailable unless a prior arrangement has been made.

As long as our office is able to safely process tax returns, we intend to continue preparing tax returns. Most of our staff are working remotely, but we will have someone in the office during normal business hours for the time being. In the event that we cannot process tax returns by the due date, we will file any necessary extensions for our returning client, as well as new clients for whom we have agreed to prepare tax returns for the 2019 year.

Federal tax returns that were otherwise due on April 15th (this includes Form 1040 and corporate Form 1120) have had their filing deadlines automatically extended until July 15, 2020. If additional time is needed beyond that date, an extension request will need to be filed. In addition, any federal income tax payment that would otherwise be due on April 15 (including your 2019 income tax due as well as your 1st and 2nd quarter 2020 estimated tax payment, if applicable) will instead be due on July 15, 2020. However, the May 1 Virginia tax payment deadlines have only been extended until June 1. Penalties for payments otherwise due May 1 will not be charged if payment is made by June 1. 


We strongly encourage a method of delivering your documents to us that will maximize safety. Our staff are primarily working remotely during this time, so we will generally not be having in office service for dropping off documents or for consultation. Please consider the following options for sending your materials to us:

1. Best option if feasible for you: Electronically send us your documents via our online portal. You can contact Alan Hostetler to receive an upload link to this portal. Please save the files individually and name the files in such a way that we can easily determine what each contains.

2. Mail your documents via USPS to Hostetler Stott CPA, PO Box 4487, Charlottesville, VA 22905. Please do not send registered or certified mail, as we would need to retrieve it at the desk of the Post Office, which puts our employees at risk of exposure. USPS Priority Mail is fine. Alternatively, you can use FedEx directly to our physical address at 1 Morton Drive, Suite #410, Charlottesville, VA 22903.

If neither of these options are feasible, you can contact our office to arrange drop off of your tax documents in a safe way. Given the frequent updates on the effects of COVID-19 the best protocol may change throughout the next several weeks. We will take care of filing any extension requests that are necessary if you cannot send us your materials in time to have them processed by the filing due dates.


We can send your completed tax returns to you one of a couple ways:

1. We can electronically send you the forms that you will need to sign and sent back to us, the payment vouchers and instructions for payment, and a copy of your tax returns for you to review.

2. We can mail the forms to you via USPS Priority Mail. Either way, once you receive the documents you're welcome to call and we can go over the process with you if you have any questions. With your permission, we will mail back your original documents back to you.

When sending us your materials, please indicate which method of delivery you prefer.
